5 Powerful Tools to MaximiSe Your Productivity AND Efficiency
Author: Max Karasev
We all know how it feels to have too much to do and not enough time.
Real productivity isn’t just about cranking out work faster—it’s about getting the right things done in a way that doesn’t leave you feeling drained. The habits you adopt can make a huge difference, helping you stay focused, organised, and ready to tackle whatever comes your way. In this article, I’ve put together five essential points, ranked by how much impact they can have on your day-to-day life, from the basics that set you up for success to the apps that keep you moving forward.
Over the years, I’ve had the chance to see what really works. Starting as a junior specialist and working my way up to the head of the department, I’ve seen how every effective leader I know relies on some version of these practices. Sure, there are a few natural talents out there who seem to thrive in complete chaos, but they’re like rare birds—you see them occasionally, but most of us need a bit more structure to get things done. These tips are invaluable for anyone looking to take control of their career or personal life.
Whether you’re just starting out or you’ve been at it for a while, these points will give you a solid foundation for staying productive without burning out. After all, “Success is in the details”—and a few good habits make all the difference.
Good night’s sleep
A good night’s sleep is often the unsung hero of productivity.
It’s the foundation for clear thinking, steady energy, and making sound decisions throughout the day. Sleep impacts everything from memory and concentration to mood and overall resilience. Without it, even the best-laid plans can feel like an uphill battle.
I know sleep isn’t always within our control. Flights, social commitments, unexpected demands—there are countless reasons we might miss out on a full night’s rest. But if there’s one thing I’ve learned, quality sleep is essential for anyone who needs to make good decisions and have the stamina to get through a busy day.
When I was younger, I thought pulling an all-nighter before an exam, heading to class, and capping it off with a party was just part of being a functioning human. But as responsibilities piled on, I quickly learned it’s not sustainable. Being a good team player at work, a reliable leader, and a capable decision-maker for higher management requires me to be mentally sharp and present. Beyond work, there’s still the need to be a supportive father, son, brother, and husband; not to mention finding enough brainpower to finally make that dentist appointment I’ve put off for months.
Running on four hours of sleep just doesn’t cut it when you’re juggling that many roles. So, if there’s one thing I’ve come to prioritise, it’s getting enough rest to face the day fully prepared. Good sleep isn’t just a luxury—it’s an essential part of handling life’s responsibilities with energy, focus, and the ability to be there for the people who count on you.
And it’s not only about the hours you get but the quality of your sleep. Researching ways to improve sleep quality like adjusting room lighting, choosing the right mattress and pillows, or using face masks can make a big difference. Small factors, like limiting caffeine and alcohol intake, can also significantly impact how rested you feel the next day. Making these adjustments can help ensure that the sleep you get indeed powers you through each day.
Timeboxing
Timeboxing is a powerful way to structure your day by assigning specific time blocks to each task or activity. Unlike a typical to-do list, timeboxing ensures that you know not only what you need to accomplish but also when you’ll focus on each task. This approach channels your brain toward completing each task, helping you avoid that familiar morning drift of wondering, “Where should I even start?”
For projects that require extended creative thinking, timeboxing can be adapted to allow longer, flexible blocks. However, for most daily tasks, having a clear understanding of your plan for the day is essential. Research shows that our brains thrive when they know what to expect and when to expect it, which allows us to settle into a flow rather than spending energy trying to figure out what’s next.
Timeboxing also minimises the cognitive load caused by context switching—a familiar term in tech that refers to the mental shifts we make when moving between different tasks or areas of focus. Studies reveal that these switches consume mental resources and make each transition slightly more taxing than the last. Every time we change focus, the brain has to “reset” and recalibrate to focus on a new task, a process that can take several minutes. This shift might seem manageable for tasks that are quick or require little depth, but over a day, these small interruptions add up, leaving us more tired and less efficient.
The more tasks you plan for the day—especially small, unrelated ones—the more context switches you introduce. Timeboxing helps limit this by setting clear boundaries around tasks, allowing you to focus on one thing at a time before moving to the next. With fewer switches, your mental stamina lasts longer, helping you stay productive without feeling drained by midday. Plus, by dedicating blocks of time to specific goals, you’re more likely to feel a sense of accomplishment and satisfaction with each finished task.
By the end of the day, fewer context switches mean you’re left feeling less mentally depleted and more in control of your progress. Timeboxing lets you get the best out of your day, channeling your energy where it’s needed most and reducing the cognitive drain of an ever-shifting mental load.
Obsidian for note-taking and knowledge management
I’ve come a long way in finding a note-taking system that works for me. Back in school, I remember some classmates using colour-coded pens and rulers, making their notes neat and artistic. It was always about speed and content for me. If I could write it fast and still read it later, that would be good enough. As I started working and needed to keep track of more complex information, I initially turned to Notepad++. I created different files for different topics, but as time passed, my notes became too chaotic to be helpful.
Eventually, I tried Notion. It was definitely a step up, offering better organisation and the ability to embed content. But it didn’t completely solve my problem. I found it was too dependent on a stable internet connection, and when I needed it most, the web pages often loaded slowly. Plus, formatting text on the fly was frustratingly clunky.
Then, I discovered Obsidian. At first, I didn’t quite see what made it special. But over time, I realised Obsidian is the ultimate tool for anyone who wants to truly organise their life. It has become my go-to space for everything, from personal to professional. I have sections for personal life (like notes on possible gifts for friends, my wife’s favourite flowers, and a list of my allergies), as well as a detailed and interconnected structure for work, projects, systems I manage, and even an archive of messages, policies, and decisions. Obsidian has brought structure to my notes—and my thinking—in ways I didn’t realise were possible.
Here’s what I appreciate most about Obsidian
- Quick and flexible note-taking. I can edit and write notes quickly, format them on the go, and avoid the frustration of waiting for a page to load or navigating through endless dropdowns for the correct heading type or colour.
- Structured thinking and organisation. Obsidian allows me to organise my notes and thoughts across all areas of my life. It’s a tool that grows with you and adapts to everything from small lists to complex webs of information.
- Easy linking across notes. Linking related notes takes just a few keystrokes, creating a network of interconnected ideas. This article could be linked from my to-do list and my “Articles” note, giving me easy access no matter where I’m looking.
Obsidian has transformed my approach to note-taking, turning it from a cluttered collection of files into a structured, accessible knowledge base that supports me daily.
ChatGPT-4 for brainstorming and problem-solving
In my recent article on AI in trading, I delved into how artificial intelligence can revolutionise industries by streamlining processes, predicting trends, and enhancing decision-making. AI’s potential to tackle modern challenges is enormous and not just limited to specialised fields like trading. When used thoughtfully, AI can also be a powerful ally in our everyday work.
ChatGPT-4, for instance, offers a wide range of applications beyond general knowledge or standard assistance. With some creativity, you can even train AI to work with your notes—say, the ones you’ve carefully organised in Obsidian. Giving ChatGPT access to relevant data can help you generate insights, brainstorm ideas, or even work within the context of specific tasks, providing solutions that are tailored to your needs.

However, there are some fundamental principles to remember for effective AI use:
- Have the knowledge to verify output. AI is a valuable assistant, but it isn’t infallible. You must have enough knowledge in the area you’re working on to verify the information ChatGPT-4 provides. AI can assist with generating content and refining ideas, but you should be ready to critically assess and adjust its output.
- Guide the process; don’t skip it. ChatGPT-4 is excellent at fleshing out ideas or drafting descriptions, but you must set the direction. Think of it as a tool for executing the ideas you’ve already conceptualised, not for creating strategies from scratch. You define the approach, and ChatGPT can help fill in the details.
- Protect personal and sensitive data. While AI can integrate with your knowledge base, be mindful of privacy. Avoid sharing personal notes, sensitive information, or any knowledge protected by an NDA. Keep your confidential information separate from anything that interacts with an external AI system.
Used correctly, ChatGPT-4 can be a highly effective tool for brainstorming, problem-solving, and even writing. When paired with a well-organised knowledge base in tools like Obsidian, AI can boost productivity without compromising accuracy or security.
Forest app for focus and distraction management
In a world full of attention-draining apps like Instagram, TikTok, and YouTube, staying focused on a task can feel like an impossible feat. In addition to the cognitive load of context-switching throughout the day, constant digital distractions only add to mental fatigue, making it even harder to stay productive. While I don’t see these apps as inherently bad—they can be great for unwinding or enjoying a podcast during a long treadmill session—I believe in finding a balanced approach. It’s about limiting these distractions when I need to focus and saving them for designated times, but never right before sleep.
Source: Forest App
That’s where the Forest app comes in. I’ve been trying it out, and it’s helped me stay focused when I need it most. Forest is designed to encourage deep focus by “planting a tree” every time you stay off your phone. The longer you stay focused, the more your tree grows, eventually creating a little digital forest as a reward for your hard work.
It’s a simple concept, but it’s surprisingly effective. By keeping me off my phone during focused work hours, Forest helps me tackle tasks without slipping into endless scrolling or quick distractions. And I can still relax in the evening with a few reels or videos—just not within an hour of bedtime. With Forest, I get the best of both worlds: uninterrupted focus when it matters and the freedom to enjoy a balanced approach to digital content.
Conclusion
Congratulations on making it to the end of this article! In a world filled with endless demands and distractions, finding the right tools to stay productive and efficient is essential. From getting quality sleep to organising your notes in Obsidian, planning your day with timeboxing, using ChatGPT-4 for problem-solving, and staying focused with Forest, these strategies are designed to help you tackle life with clarity, energy, and control.
By now, you’re equipped with practical ways to boost your productivity and, more importantly, maintain balance. We hope these tips inspire you to make small changes that have a significant impact. After all, productivity isn’t about constant hustle, it’s about working smarter and making space for both focus and fun.
